Human Resources & Finance Assistant

 

Reports to: Director of Finance

Status: Full-time

Supervises: Payroll, new employee onboarding

Qualifications: Bachelor’s degree and/or equivalent experience

Proficiency using Microsoft Word and Excel; Google Documents and Sheets

Experience using QuickBooks, Paylocity a plus

 

Position Summary: The Human Resources & Finance Assistant is responsible for providing administrative support to the Director of Finance, primarily facilitating SJCA’s human resources and payroll processes.  The Assistant should be detail-oriented and organized, clearly and tactfully communicate with SJCA’s current and prospective employees, and demonstrate patience and efficiency in addressing inquiries.

Primary Responsibilities:

  • Process payroll for salaried and hourly employees; enter new employees into payroll software, collect and enter timesheets, set up and confirm elected benefit deductions, enter payroll journal entries.

  • Educate and enroll eligible employees in elected medical insurance, FSA, and other benefit programs.

  • Enter and process check requests such as 403(b) employee contributions, individuals’ payroll withholding, insurance coverage payments, the Archdiocese of Milwaukee’s lay pension plan contributions.

  • Update and distribute new employee information packets; obtain and record new employee paperwork including payroll information, benefit elections, and Safeguarding God’s Children compliance.

  • Maintain confidentiality when requesting, recording, and filing completed paperwork from new and returning employees.

  • Ensure employees and volunteers’ compliance with the Archdiocese of Milwaukee’s Safeguarding God’s Children requirements.  Inform employees and volunteers of upcoming Safeguarding classes and periodically arrange Safeguarding classes on site.

  • Update staff absence request database consistently; inform employees and their supervisors of remaining absence allowances.

  • Conduct annual staff recruitment efforts through the management of job postings on two job boards and the school’s website; communicate with applicants via email regarding application requirements.

  • Organize and prepare completed staff application packets for hiring managers’ review.

  • Schedule interviews with applicants via phone and email; manage hiring managers’ interview schedules.

  • Manage and troubleshoot the school’s new employee onboarding process through Paylocity.

  • Perform additional finance office duties as assigned by the Director of Finance; may include processing deposits, reviewing accounts payable, entering credit card bills, generating financial reports, etc.

Custodian

Reports To:  Director of Maintenance

Status:  Full-time, exempt status

Qualifications:

  • 1+ years custodial experience, preferably within a school setting
  • Ability to perform the position’s physical requirements
  • Construction trade background preferred

 

Position Summary:      The Custodian is responsible for performing custodial and maintenance duties in and around the Upper or Lower Campus facilities.  The Custodian should be a team player, anticipate facility needs, fulfill his or her duties efficiently, and exhibit good communication and interpersonal skills in providing a clean and safe environment for SJCA’s faculty, staff, and students.

 

Primary Responsibilities:

  • Perform routine and comprehensive custodial maintenance of assigned facilities.
  • Clean and disinfect restrooms, locker rooms, and other areas; remove trash in accordance with established procedures.
  • Monitor and stock bathrooms and other common areas with necessary supplies.
  • Report and respond to emergency calls for custodial assistance.
  • Install and/or repair classroom and office equipment as well as system and facility components, such as lighting, ventilation, and plumbing.
  • Perform preventative maintenance in and around facilities; notify the Director of Maintenance of recurring issues.
  • Facilitate furniture and equipment setup for special events and activities.
  • Troubleshoot and repair minor plumbing and electrical problems.
  • Assist in the refinishing of buildings’ hardwood and tile floors.
  • Maintain inventory and submit requests for supplies; evaluate new supplies and equipment.
  • Operate power equipment such as pressure washers, power tools, and campus vehicles.
  • Clean buildings and grounds as needed; maintain assigned tools and equipment.
  • Participate in meetings and workshops to communicate and/or gather information required to perform duties.
  • Complete 2 hour asbestos awareness class annually.
  • Perform additional program duties as assigned by the Director of Maintenance.

Before & After Care Assistant

Reports To:                 Before & After Care Supervisor,  Lower Campus Principal
Supervises:                3K-5th grade students
Status:                         Part-time (<20 hrs/wk)
Qualifications:         Current SJCA high school student of good academic standing, 17+ years old

Position Summary:      The Before and Aftercare Assistant is responsible for the general supervision of children participating in SJCA’s Before & After Care program.  The Assistant should have a friendly personality, be empathetic toward the emotional and physical needs of others, and foster positive interactions with children ranging from 3K through 5th grades.  He or she must also fulfill other responsibilities in accordance with SJCA’s mission statement.

Primary Responsibilities:

  • Monitor and organize activities that promote the social, developmental, and educational growth of children.
  • Accept responsibility for children’s health, safety, and physical needs.
  • Treat all children with dignity and respect.
  • Report all physical, emotional, and behavioral issues to the Before & After Care Supervisor.
  • Assist with general housekeeping tasks.
  • Work with other staff members to form a positive, supportive team atmosphere.
  • Maintain a professional attitude and loyalty to the school at all times.
  • Perform additional program duties as assigned by the Before & After Care Supervisor.

High School Assistant Track Coaching Position - Jumps & Hurdles
